
Calculating Monetary Savings
To demonstrate the success of a project, the use of metrics is required. One method of measurement is to compare the amount of time spent on an existing process to the time spent on an improved process, and translate this into monetary savings for your department. This sounds complicated, but is actually not too difficult if you follow the steps below.
- Measure or estimate time spent on each step of existing processes.
- Measure or estimate time spent on each step of improved processes.
- Add total time spent on each process for both existing and improved processes.
- Subtract time spent on improved process from the time spent on the existing process. This is your time savings per process.
- Determine how many iterations of the process are performed per year. Multiply the time savings per process by the number of iterations per year the process is performed. This is your annual number of hours saved by the improved process.
- Multiply the total annual number of hours saved by the average hourly rate for the employee group completing the process. These numbers are listed below. We use averages instead of exact salaries for the person completing the process because that is personal information.
- Publicize your results. Accept the praise heaped upon you.

AMS=Annual Monetary Savings, TCTE=Total Completion Time for Existing (hours), TCTI=Total CompletionTime for Improved(hours), TPY=Total Processes per Year, and AAS=Average Hourly Salary.
